1. Who we are

Big Ben Suite Ltd ("we", "us", "our") is the data controller for personal data collected through bigbensuite.co.uk and related communication channels. Registered in England and Wales, Companies House number 15855127. Registered office: Lynton House, 7-12 Tavistock Square, London WC1H 9BQ.

2. What data we collect

  • Identity & contact: name, email, phone or WhatsApp number when you submit an enquiry form.
  • Property details: postcode, property size, expected dates and other context you choose to share.
  • Technical data: IP address (hashed), browser type, page interactions for security and basic analytics.
  • Correspondence: any email, WhatsApp or call content you send us.

We do not collect special category data (health, biometrics, etc.). We do not knowingly collect data from anyone under 18.

3. Why we use it (lawful basis)

  • To respond to enquiries and prepare quotes — performance of a contract / pre-contract steps you have requested.
  • To run the service if we onboard you (statements, compliance records, payments) — contractual necessity.
  • Service improvement and security — legitimate interest, balanced against your rights.
  • Direct marketing emails are sent only with your consent, which you can withdraw at any time via the unsubscribe link or by emailing us.

4. Who we share it with

We do not sell personal data. We share it only with processors that help us run the service:

  • Hosting & database (Vercel, Supabase) — UK / EU regions where available.
  • Listing platforms when you onboard (Airbnb, Booking.com) — only with your written instruction.
  • Professional advisers (accountants, solicitors, insurers) where required by law or contract.
  • UK authorities where we are legally compelled.

5. International transfers

We aim to keep data within the UK and the EEA. Where a processor transfers data outside, we rely on UK GDPR-compliant safeguards such as the UK International Data Transfer Addendum or the EU Standard Contractual Clauses.

6. How long we keep it

  • Enquiries that do not become a contract: 24 months from last contact, then deleted.
  • Active owner accounts: kept for the duration of the agreement plus 7 years (UK tax record requirement, HMRC).
  • Marketing consent: until withdrawn.

7. Your rights

Under UK GDPR you have the right to:

  • Request a copy of your data (subject access).
  • Rectify inaccurate data.
  • Erase data where there is no overriding lawful basis.
  • Restrict or object to processing.
  • Data portability for data you provided.
  • Withdraw consent at any time.

8. Complaints

If you are unhappy with how we handle your data, please contact us first. You also have the right to complain to the UK Information Commissioner's Office at ico.org.uk/concerns.

9. Cookies

The site uses essential cookies for navigation and a small set of first-party analytics cookies for traffic measurement. We do not use advertising or cross-site tracking cookies.

10. Changes to this notice

We will update this page when our practices change and revise the "Last updated" date. Material changes will be flagged on the homepage for 30 days.

This notice is written in plain English to meet UK GDPR Article 13 transparency requirements. Final operational terms are supplied at contract signing.
